BOARD OF DIRECTORS MEETING MINUTES
Monday, June 21, 2010
6:00 P.M.
I. CALL TO ORDER
The June 2010 meeting of the Board of Directors of the Hunter’s Run Condominium Association, Inc. was held on the evening of June 21, 2010 at the Aurora Municipal Building, Fletcher Room, 15151 East Alameda Parkway, Aurora, Colorado. The meeting was called to order at 6:20 p.m. by Vice President, Bonnie Ra. Board Members present: Bonnie Ra, Mary Ann Kill, Mike Whalen, and Georgia Swearingen. Absent; Mark Overton, Duster Pevonka and Mike Westcott. Representing management: Kim Maguire with Premier Property Management, LLC. There was one homeowner in attendance.
II. REVIEW AND APPROVAL OF MINUTES
The minutes from May 17, 2010 meeting were reviewed. Mr. Whalen pointed out a grammatical error on page one. Ms. Maguire will make the correction. Ms. Kill motioned to approve the minutes as amended. Seconded by Mr. Whalen. The Board unanimously approved the motion with Ms. Swearingen abstaining.
III. MANAGERS REPORT
Ms. Maguire presented the financial statement as of May 2010. Ms. Kill motioned to approve the financial statements as presented, seconded by Mr. Whalen. Motion passed unanimously.
Ms. Maguire outlined current events that have taken place at the complex to include maintenance improvements.
IV. OLD BUSINESS
The paint test has been completed at Building K third floor. The Board decided that due to the high cost of the application, the future paintings of the landings in the rest of the buildings will be tabled until further notice.
Ms. Ra will revisit the building signage. Ms. Ra will look for reflective letters/signs for the entrances to each building and email the Board with costs.
V. NEW BUSINESS
The Board reviewed a bid to install a French drain behind Building I. Ms. Ra motioned to approve the bid. Seconded by Ms. Kill. Motion passed unanimously. Ms. Maguire presented a bid for parking lot repairs. Ms. Maguire will still go out to competitively price per unit. Ms. Ra motioned to approve the submitted bid to include the following statement, that if Ms. Maguire is unable to find another competitive bid with a competent company, the HOA will approve to contract with the current proposal. Ms. Kill seconded the motion. Motion passed unanimously.
Ms. Kill motioned for Prep-Rite Coatings to paint the Xcel Energy boxes since they are faded and Xcel will not paint them. Ms. Ra seconded the motion. Motion passed unanimously with Ms. Swearingen voting against the motion.
Ms. Maguire will have maintenance paint the wood insert pieces on the buildings landings as discussed.
Several bids were covered with the Board for the repair/replacement of the heart shaped pond. It was noted that the pond needs to have the liner replaced due to vandalism. Several pond companies will not bid the job, due to the extensive work. Some pond companies have downsized due to the economy and thus do not have the manpower to complete such a large job. Ms. Maguire presented the option to sod the retention area as Heritage Estates have done with their retention pond in Lone Tree. The Board will review the area for consideration. The pond will still need to have the liner removed and stone removed if sod is considered. It was noted that the pond has been drained out and is dry at the moment. It was also noted that the Association water bill has significantly decreased by not running the pond. The pond water evaporates quickly and is auto filled by the irrigation system. A homeowner volunteered to poll some owners surrounding the pond to get their feedback regarding sod or repairing the pond. The Board will then consider all comments before any decision is made.
Discussion was held regarding concerns at the pool. Homeowners and Guests are not allowed to drink alcohol in or at the pool or smoke. Privileges will be removed if these violations occur.
Homeowners are encouraged to use acoustical underlayment if installing hardwood or tile flooring on the second and third floors.
Discussion of window mount air conditioner units was discussed. These type A/C units are not allowed. AC units must be on the inside of the storage rooms. Units placed outside on the balcony/patios or outside of a window will be sent a violation letter and fines could be assessed.
Vandalism to the Building K fence has decreased, thanks to homeowners that are monitoring the area for trespassers.
VI. HOMEOWNERS FORUM
Ms. Ebersole will help the HOA communicate options with the ponds and get feedback from those owners.
VII. ADJOURNMENT
Ms. Ra made a motion to adjourn the monthly meeting 7:47 p.m. Ms. Kill seconded the motion. Motion passed unanimously.
